ADMIN & ACCOUNTS ASSISTANT – NORTHERN TRANSPORTABLES

Northern Transportables is an established market leader and award-winning manufacturer of Modular Building Solutions, providing a large range of Transportable Hire Buildings for short and long-term applications.

The company is looking for an Admin and Accounts Assistant who has exceptional data entry skills to assist us in being our customers first point of contact whilst also assisting and backing up the accounts team.

Primary Objective

Responsible for answering and directing all incoming phone calls of the company and ensuring that relevant and correct information is gathered, to ensure, as the first point of contact, that our customers are provided a quality service and experience.

The Admin and Accounts Assistant supports the entire company, by providing timely and accurate information about our new and existing customer enquiries. They will also support the accounts team, through providing accurate and efficient data entry and filing into our company and accounting systems.

Key Responsibilities

  1. Answer, screen, and direct incoming phone calls in a professional and efficient manner.

  2. Greet and assist visitors, ensuring a welcoming and positive first impression.

  3. Maintain the cleanliness and presentation of the reception area and boardroom at all times.

  4. Manage the ordering and stock levels of office supplies, kitchen provisions, and uniforms.

  5. Perform light lunchroom maintenance to ensure cleanliness and tidiness.

  6. Refill printers each morning to ensure readiness for daily operations.

  7. Water indoor plants regularly to maintain a pleasant office environment.

  8. Schedule and coordinate boardroom bookings for meetings and events.

  9. Update and maintain internal staff contact lists to ensure accuracy and accessibility.

  10. Monitor shared email inboxes and forward messages to appropriate personnel as needed.

  11. Receive, collect, sort, and distribute incoming mail and parcels promptly and accurately.

  12. Scan and electronically file documents such as leave forms and delivery dockets for Accounts and Payroll departments.

  13. Assist with administrative duties including preparing refreshments for visitors and supporting the coordination of staff events and functions.

  14. Accurately transcribe manual Fuel Pod records into Excel spreadsheets, ensuring data integrity.

  15. Enter purchase orders and supplier invoices into the accounting system with a focus on accuracy and timeliness.

  16. Provide general administrative support including data entry, filing, photocopying, and scheduling.

  17. Maintain a high level of discretion and confidentiality when handling sensitive information.

  18. Complete various ad hoc tasks and errands as requested by management.

Selection Criteria

  • A high level of verbal skills and ability to be able to decipher information.

  • Excellent oral and written communication skills, with a high level of accuracy.

  • High Level of Data entry skills.

  • Excellent organisational and time management skills.

  • Ability to develop strong working relationships with internal and external stakeholders.

  • Proficiency in Microsoft Office, particularly Outlook, Excel, and Word.

  • Previous experience using MYOB or other accounting software would be an advantage, but not essential.

  • NT Drivers Licence
